| As anyone who has ever had the opportunity to do so will tell you, organizing a conference is not a task for a faint constitution. There are so many different factors in play that it can be easy to over look some seemingly minor, yet critical, aspects of the event. There are a lot of different features of a conference – whether it is a scientific one, a religious one, or even a comic book event – that any organizer has to take care of. Once the location of the conference has been determined, hotels have to be contacted and contracts drawn. Perhaps catering needs to be arranged and coffee services put into place. Tickets or some other form of admission must be put into place and the associated accounting needs to be set up. Then there are the speakers and guests. Nowadays, almost every speaker or presenter will have prepared a Power Point or Open Office presentation. It is a convenient and easily portable format that can fit on to a compact disc or a flash drive. While many speakers travel with their own computers, they rarely travel with projectors. Nothing annoys a presenter more than arriving to give a talk only to discover that their wonderful presentation can not be seen because there is no projector because the organizer was not prepared. Apart from boring talks, nothing annoys attendees more than waiting around for someone to scrounge up a projector. The dynamic between the speaker and the audience might be lighthearted and somewhat comical but, make no mistake of it, both are irritated and that reflects poorly on the organizers.
Such a situation can be easily avoided by putting someone in charge of projector rentals well in advance of the event date. Once the number of speakers and number of rooms has been ironed out, you can determine how many projectors you will need. It is preferable to have one per presentation room because, as was stated earlier, it is annoying and wastes time when someone has to go scavenge a projector from another talk. If the conference is expected to occur more than once, it is generally considered a good idea not to irritate the attendees and the speakers. The objective is to make sure the infrastructure for a talk is already in place so that all the speaker has to do is “plug in.”
When researching establishments that handle LCD projector rentals, it is important to make sure they offer a variety of projectors. There is a chance your conference may have a variety of different sized rooms. While the size of a projector is not terribly important in a small room, any talks that may take place in a banquet setting or some other large gathering are going to require a projector with adequate power. One does not want attendees at the back of the room missing out on the keynote presentation.
With adequate planning, one can put together an excellent conference that the attendees and speakers will talk about for years to come. By paying attention to the more mundane aspects such as projector rentals, an organizer can help smooth out some of the bumps every conference is guaranteed to have. In doing so, everyone will have a better time and you will significantly reduce your stress levels. |
